Terms of Service

These terms govern your use of the Suma Store Manager and Self-checkout software for Windows, the seller portal, the vendor portal and sumasystems.com (together, the “Service”), provided by Suma Systems (“Suma”, “we”). By installing the software or creating an account you agree to them.

1. Your account

You need an account to sync, back up or order through the Service. Keep your password and cashier PINs confidential; you are responsible for activity under your account. You must be at least 18 and using the Service for a business.

2. Subscription and billing

The Store Manager is billed per store, monthly, through Stripe, with every register included. You can cancel at any time from the app; access to cloud features ends at the close of the paid period. The software keeps working offline with your local data after cancellation, and your data is never held hostage.

3. Your data

You own your store data. You grant Suma only the rights needed to store, sync and display it for you and, when you send a purchase order, to show that order to the vendor you sent it to. Our handling of personal data is described in the Privacy Policy.

4. Shared vendor catalog

Vendors and products you add to the shared catalog become visible to other Suma stores so they can order from the same vendor. Only add information you have the right to share. Negotiated prices, account numbers and your order history remain private to your store. Vendors may claim their listing and must provide accurate company details; Suma may verify, merge duplicate or remove listings.

5. Email sending

Purchase-order emails are sent from your own email account (via SMTP or Google sign-in). You are responsible for the content of those emails and for complying with your email provider’s terms. Suma does not send marketing email on your behalf.

6. Payments and third parties

Card processing is performed by your own merchant account and payment terminal provider under their agreements. Suma is not a party to those transactions and is not liable for processor outages, chargebacks or fees.

7. Acceptable use

  • Do not reverse engineer, resell or sublicense the software.
  • Do not access another store’s or vendor’s data.
  • Do not use the Service for anything unlawful.

8. Warranty and liability

The Service is provided “as is”. We do not guarantee it is free of errors or interruptions. To the extent permitted by law, Suma’s total liability for any claim is limited to the fees you paid in the three months before the claim, and we are not liable for indirect losses such as lost sales or data you did not back up.

9. Termination

You may stop using the Service and delete your account at any time. We may suspend or terminate accounts that breach these terms, with notice where practical.

10. Changes and contact
